In this privacy notice, we inform you about the most important aspects of data processing in connection with the use of our website.

What are personal data?
Personal data means all information referring to a natural person. What is important in this context is that data are deemed personal data as soon as such natural person can be identified based on these data (e.g. by assigning a user ID). This includes information such as your name, address, telephone number and date of birth. Statistical information which cannot be linked to you, either directly or indirectly, (e.g. popularity of individual web pages of our offer or the number of users per page) is not personal data.

Which personal data are collected and for which purpose are they used?

Contact form
We process your personal data for the purpose of handling your inquiry. Via the contact form, the following data are transferred to us and processed and stored by us:

  • E-Mail-Adress
  • Content of the subject line and the message


Contact form (studies)

We process your personal data for the purpose of finding subjects for our studies. Via the contact form, the following data are transferred to us and processed and stored by us:

  • Name
  • Age
  • Gender
  • E-Mail
  • Telephone
  • Selected study
  • (Contact in case of further studies)
  • Content of the study


Person searches
We process your personal data for person searches. Via the contact form, the following data are transferred to us and processed and stored by us:

  • Name
  • E-mail
  • Degree of kinship with the person searched for
  • Name of the person searched for
  • Date/place/country of birth of the person searched for
  • Last known place of residence of the person searched for
  • Category of person searched for (e.g. prisoner of war, missing person, child born of war)
  • Place and date when/where the person searched for was last reported
  • Other remarks


Advertising materials (newsletter)
For the purpose of transmitting advertising materials (newsletters, dissemination of information), our website provides the possibility to register for such transmission by expressly consenting by way of a double opt-in. After your registration you will receive an e-mail where you are asked to confirm your registration. <please make sure that this is really the case

The following personal data are collected and processed when you register for the transmission of advertising materials:

Online application
Our website features an online application system. Your application documents will be processed for the purpose of handling your application; this involves collecting and processing the following personal data:

  • Last name
  • First Name
  • Concerning of the notification

Your electronic application data will be automatically forwarded to our HR department for further processing.

Please note that applications you send to us by e-mail are transmitted unencrypted. We thus recommend using the online application system.

How long will your personal data be retained?
We do not retain your data any longer than necessary for the respective purposes of processing. The data will be deleted as soon as they are no longer required for the fulfilment of contractual or legal obligations. At the latest by the end of the project.

Does refusing to provide personal data have any consequences?
Refusing to provide personal data may entail different consequences. In general, we will not be able to carry out the relevant website services (contact inquiries, transmission of advertising materials, online application) without your personal data.

Will personal data be disclosed to third parties?

With respect to the mailing of advertising materials, data will be transferred to processors within the EU for the purpose of sending newsletter or information materials.

The processors have undertaken vis-à-vis our company to comply with the applicable provisions under data protection law by entering into a processing agreement pursuant to Article 28 GDPR.

Which rights do the users of the websites of LBG, the Ludwig Boltzmann Institutes (LBI), the Ludwig Boltzmann Cluster (LBC) and the research groups have?
You have rights of access, to rectification, erasure, restriction, data portability, withdrawal and objection. If you believe that the processing of your data violates data protection law or your rights under data protection law have been violated in any other way, you can lodge a complaint with the supervisory authority. In Austria, this is the Data Protection Authority (Datenschutzbehörde).

How is the security of your personal data ensured?
The LBG GmbH ensures the security of your data by taking appropriate organisational and technical measures to protect the stored personal data against accidental or intentional manipulation, loss or destruction and against access by unauthorised persons. Our security measures are being continuously improved in accordance with technical progress.

Can you withdraw your consent to receiving advertising materials (newsletter)?
You can subscribe to our newsletter on our website. In order for you to subscribe, we need your personal data and your confirmation that you agree to receiving the newsletter. We will process your data only after having received your express consent. Moreover, we do not, as a general rule, process any personal data of minors. By consenting, you confirm to be at least 18 years of age.

If you withdraw your consent, the data relating to you stored so far will be anonymised and subsequently be used only for statistical purposes without any correlation to your person.

The withdrawal of consent shall not affect the lawfulness of any consent-based processing performed until such withdrawal.
Such consent may be withdrawn at any time without stating reasons via the corresponding link in the newsletter, by e-mail or by letter. In this context, please do not hesitate to get in touch with the LBG GmbH contact indicated above.

When do the LBG, LBI and LBC websites use cookies?
In general, it is possible to use the websites of LBG, the LBIs and the LBC without cookies (note: cookies are small text files which your browser stores on your device).

Which other tracking technology is used on the LBG, LBI and LBC websites?

Google Analytics
The LBG website uses the services of Google Analytics, as offered by Google Inc. (1600 Amphitheatre Parkway Mountain View, CA 94043, USA) for analysing website use. Generally, the information collected by the cookies is transferred to and stored on a Google server in the US.
IP anonymization for users in member states of the EU and the European Economic Area is implemented on our website (note: your IP address is collected but pseudonymised immediately by deleting the final 8 bits). This allows for non-personal data localisation only. In the context of the processing agreement we entered into with Google Inc., Google Inc. uses the collected information to analyse website use and website activity and provides services in connection with internet use.

Moreover, you can use a browser plug-in to prevent the information collected by the cookies (including your IP address) from being transferred to Google Inc. and thus to prevent Google Inc. from using such information.
